Education & training

Term fees, instalments and sponsor invoices for centres, institutes and nurseries.

A classroom board with a check mark, a stack of books and a graduation cap

Training centres, language institutes, nurseries and tutoring businesses collect fees by term, course or month, often in instalments, and sometimes from an employer rather than the learner. Fatooraz issues e-invoices built for the requirements of ZATCA's Fatoora platform, tracks partial payments and issues documents in Arabic and English, so every fee and balance is clear.

Problems we see in this industry

Instalments tracked on paper

Parents and learners pay term fees in parts. With handwritten receipts, staff cannot say how much remains without digging through files, and overdue instalments go unnoticed.

Employers and sponsors paying for learners

When a company or sponsor pays for a course, the invoice must carry that organisation's name and tax details, while the learner may receive only a receipt. Mixing the two causes rejected paperwork.

Registration, tuition and materials on one bill

A family may pay registration, tuition, books and uniforms together, and the tax treatment can differ by item. Unclear lines make receipts hard to reconcile and invite questions at the next visit.

Withdrawals and fee corrections

A learner withdraws mid-term, a discount is agreed late or a fee was entered wrongly. An issued invoice stays as it is, so each change needs a credit note that the parent or sponsor can follow.

How Fatooraz helps

Instalments with a clear balance

Set payment terms for the term or course, enter instalments as partial payments and see who is overdue. Each invoice shows what was paid and what remains.

Billing and payments

Invoice the sponsor, receipt for the learner

Address a tax invoice to the employer or sponsor with its legal name and tax details, and issue a separate simplified invoice when a parent or learner pays personally.

Invoicing

Tax set on each fee line

Give registration, tuition, materials and uniforms their own lines and set the tax on each. VAT reports match the invoices you issued. Confirm the right treatment for your type of provider with your tax adviser.

VAT compliance

Credit notes for withdrawals and adjustments

Reduce or cancel an issued fee invoice with a credit note linked to it, and bill again if needed. Parent receipts carry a QR code, in a design built for ZATCA's requirements.

ZATCA e-invoicing (Fatoora)

E-invoicing for this industry

Parents and individual learners are consumers, so their fees are normally simplified tax invoices with a QR code, reported to ZATCA within 24 hours once Phase 2 applies to you. Employers, sponsors and public entities usually receive standard tax invoices, cleared before issue. Withdrawals are handled with credit notes. Watch ZATCA's announcements for your wave date.

Numbers owners keep an eye on

  • Fees collected versus fees due
  • Outstanding balance per sponsor
  • Overdue instalments
  • Credit notes issued for withdrawals

Frequently asked questions

Can parents pay tuition in instalments and still get clear paperwork?

Yes. Issue the fee invoice with payment terms, then enter each instalment as it arrives and each invoice shows what has been paid and what remains, so your office and each parent work from the same figures.

Who receives the invoice when an employer pays for an employee's course?

The employer receives the invoice: normally a standard tax invoice naming the company and its VAT details, cleared under Phase 2. If the employee pays personally, they receive a simplified invoice with a QR code instead.

Can one invoice list registration, tuition and uniform lines with different tax?

Yes. Each fee is its own invoice line with its own tax category, so the invoice is accurate and VAT reports add up correctly. Check the right treatment for each fee type with your tax adviser.
